Privacy Policy

`Overview`

We are a GDPR Compliant Club and are committed to respecting your privacy. This notice is to explain how we may use personal information we collect before, during and after your membership with us. This notice applies to you if you have registered to become or are a paying Club Player in our Club, or if you are a Visitor to the Club and participate in Social play only. Information collected is necessary to enable us to properly manage and administer your membership contract with us and to arrange transportation for you to and from events if necessary.

`What We Collect`

Depending on the type of membership you register for with us, you may initially provide us with or we may obtain personal information about you, such as information regarding your:

Personal contact details that allows us to contact you directly such as name, title, email addresses and telephone numbers;
Membership start and end date; and
Records and assessment of any player rankings, grading or ratings, competition results, details regarding events / matches / games attended and performance.

`What We Do Not Collect`

We will not collect, store and use the following “special categories” of more sensitive personal information regarding you:

Information about your race or ethnicity, religious beliefs and sexual orientation;
Information about your health, including any medical condition, health and sickness records, medical records and health professional information; and
Biometric information about you, for example fingerprints, retina scans etc.

`Disclosure`

We disclose your personal information to only those governing bodies (or regional bodies) who need this information to administer Chess events in which you participate as a paying member or paying Visitor of our Club.

`Child Safeguarding Policy`

This policy will apply to all members of, and visitors to, the club when undertaking Club activities at our normal venue or any other venue that might be temporarily allocated for Club Activities. A child in this context is deemed to be anyone less than eighteen years of age. “Parents” in this context includes legal guardians. The Club has a member who has Disclosure and Barring Service (DBS) clearance. To request the DBS clearance certificate please message one of the owners/admins and they will be happy to bring it along at our next Club Night. Any allegations or concerns will be investigated in accordance with the English Chess Federation’s Safeguarding Children Policy, which is available here: https://www.englishchess.org.uk/safeguarding-children-policy/. All parents will normally be required to escort their children into the Club premises at the start of each session or event, and to be present to collect their children again by the end of the said session or event. However, at their discretion, a parent may provide permission for the child to arrive and travel home alone. Parents are responsible for the junior players whilst outside the room, where chess evenings are held. This includes toilet and drinks visits. Club coaches will not escort juniors for breaks. The Club also welcomes child players to participate in inter-club matches away from the Club venue. All parents will normally be required to accompany their child to away matches and to remain at the away team’s Club premises throughout the duration of the match. However, at their discretion a parent may provide written permission for the child to travel to and from the venue alone, or with other team members using travel arrangements made by the Team Captain. The safety of an unaccompanied child in the event of an emergency will be the responsibility of the team’s captain. Parents must provide us with details of emergency contact(s) (name, address and phone number).
